Where your data is kept
Where Extolly's copy of your books lives, who can open it, what leaves the computer, backing up, and removing everything.
3 minute read
The copy on your computer
Extolly keeps a copy of what it reads from Tally in your Windows profile, on the same computer as Tally: one database file for each company. The dashboard shows that copy.
Alongside your books, the copy holds what you made in Extolly: bills waiting to go into Tally, drafts, saved reports and segments, GST details you filled in, and how you arranged your screens.
Tally remains the original. If Extolly's copy were lost, your books would not be: Extolly would read them from Tally again.
Who can open it
- The dashboard answers only at
localhost:4319, which exists only inside that computer. Another computer on your office network cannot open it. - Another website open in a browser on the same computer cannot read or change anything: Extolly turns away any request that does not come from its own screens.
- Anyone who can use the computer under your Windows sign-in can open the dashboard. There are no separate users or passwords inside the Windows app yet. Lock the computer when you leave it, as you would with Tally open.
What leaves the computer
Nothing about your books. No entry, name, amount or balance is sent anywhere by the app.
Two things can involve our server, and neither carries your books. Both are switched off in the current version:
- Updates: asking whether a newer version exists.
- Crash reports: notes about faults in the app itself.
See Settings, updates and reports for exactly what a report holds.
Is the copy encrypted?
Not by Extolly. It is protected the same way Tally's own data folder is: by your Windows sign-in. On a laptop or a shared computer, switch on Windows device encryption (BitLocker), which protects everything on the disk including Tally's data.
Backing up
Back up Tally the way you already do. That is the backup that matters.
You do not need to back up Extolly's copy of your books. What would be lost with it is only what lives in Extolly alone: drafts, saved reports and segments, GST details filled in under Missing details, and screen arrangements.
Removing your data
One company. In settings, press Remove beside the company. Its copy is removed from the computer. Bills still waiting and GST details filled in are kept in case you add it again. See Several companies.
Everything. Uninstall Extolly and answer Yes when asked whether to also remove the copy of your books and the settings. See Install Extolly.
Neither touches anything in Tally.
Tally's own connection
To let Extolly read it, Tally's connection is switched on at port 9000. That is a Tally feature, and it makes Tally answer to other computers on your office network too, not only to Extolly. On a trusted office network this is normal. If the computer is on a shared or public network, add a Windows Firewall rule that blocks incoming connections to port 9000: Extolly is on the same computer and is not affected by it.
When Extolly cloud opens
Extolly cloud will keep a copy of your books on our servers so your phone can open them. Nothing is uploaded unless you link the computer to an account yourself. Before it opens, this guide and the Security and your data page will say what is stored, where, and how to have it deleted.
