When a bill is waiting or refused
What Draft, Waiting for Tally, Refused and Check in Tally mean for something you made in Extolly, and what to do about each.
4 minute read
Where to look
Anything you made in Extolly that is not yet safely in Tally is shown in three places, so it cannot be missed:
- As a banner at the top of Bills.
- Under Needs you on Home.
- In the status line under your company's name, for example 1 bill refused by Tally. A red number also appears on Bills in the navigation.
Press it to open its page. A tag at the top says where it stands.
The states
| Tag | Meaning | What to do |
|---|---|---|
| Draft | Saved in Extolly, not sent | Continue to finish and send it, or Discard |
| Waiting for Tally | Saved, and will go in by itself | Usually nothing. See below |
| Refused | Tally did not take it. It is not in your books | Read what Tally said, then Change and send again or Discard |
| Check in Tally | It was sent, but what Tally holds is not the same as what was sent | Compare it in Tally, then press I have checked it in Tally |
| In Tally | In your books | Nothing |
| Proforma | In Tally as a proforma. Not in your books until made regular | Nothing |
| Removed in Tally | It reached Tally and was later cancelled or deleted there | Nothing |
Waiting for Tally
The page says why it is waiting. It will be one of these:
- Tally is closed. It goes in as soon as Tally opens on the computer with Extolly.
- The company is not open in Tally. It goes in as soon as it is.
- It is with Tally now, or goes in with the next check, in a moment.
- It is a payment taken with a bill. It goes in straight after that bill. If Tally refused the bill, the payment waits until the bill is put right.
You can leave it. Bills wait in the order you made them and go in on their own. To hurry it, open Tally with the company loaded and press Check Tally now in the menu.
Refused
Tally can refuse an entry for its own reasons, and Extolly shows you what Tally said. Two you may meet:
- "Tally refused the date." The date falls outside the period your Tally company allows. Change the date and send again.
- "Tally refused the date. This Tally has no licence, so it only accepts the 1st, 2nd and 31st of a month." A Tally running without a licence only takes entries on those days.
What to do:
- Read the reason on the page.
- Press Change and send again to open the bill, correct it, and send. For a payment, which cannot be reopened, press Send again once the cause is fixed.
- Or press Discard if you do not want it after all. Discarding a bill also discards a payment taken with it.
A refused bill is not in your books. It stays flagged until you fix it or discard it. Extolly does not keep retrying it behind your back, and one refused bill does not hold up the others.
Check in Tally
After a bill made here reaches Tally, Extolly reads it back and compares it, ledger by ledger, with what was sent. If the two are not the same, the bill is marked Check in Tally.
This is rare. It can happen if Tally applied something of its own to the entry, or if someone changed it in Tally in the moments after it arrived.
- Open the entry in Tally and compare it with the bill as shown in Extolly.
- Put it right in Tally if it needs it.
- Back in Extolly, press I have checked it in Tally. The flag is cleared.
Why the same bill cannot go in twice
Every bill made in Extolly carries an id of its own into Tally. If a bill is sent and Extolly does not hear back, because Tally closed or the computer went to sleep at that moment, it sends the bill again when it can. Tally recognises the id and updates the first copy rather than adding a second.
A change to an entry already in Tally is handled more carefully still: before trying again, Extolly asks Tally whether the first attempt arrived.
Messages when a bill cannot be opened
| Message | What it means |
|---|---|
| "That bill is not here any more" | It was discarded, or it is now in Tally. Look for it in the list |
| "This bill is going into Tally right now" | Give it a moment, then open it from Bills |
| "This bill is already in Tally" | It went in while it was waiting. Open the entry and change it there |
If Extolly itself is not running
That is different from Tally being closed. If the Extolly app is not running, nothing can be saved, and you see "Could not reach Extolly on this computer. Check that it is running." Open Extolly for Tally from the Start menu and try again. Nothing you typed is sent later on its own: what you see is what was saved.
